Records Division is under the command of Assistant Chief M. P. Jackson. Vance Mitchell directly supervises the efforts of seventeen civilian clerks assigned to this division, which operates 24 hours a day, seven days a week.
- Clearance letters: For passports, etc. obtained from Records Division, 8 a.m. to 4 p.m. Monday through Friday (6pm Thursday), $3 per letter.
- Verification letters: To show loss reported to police, obtained from Records Division, 8 a.m. to 4 p.m. Monday through Friday (6pm Thursday), $3 per copy

The Records Division has the primary responsibility of managing the retention of all criminal offense reports and traffic accident reports created by this department. Specific tasks related to this primary function include sorting, filing and internal dissemination of reports and related documents. In addition, division personnel are responsible for computer data entry and dissemination of offense reports to other authorized agencies and to the public when appropriate. Statistical data concerning the functions of the division are compiled in a monthly activity report, which also contains year to date figures. Additionally, a monthly comparative summary report of traffic accidents is compiled and distributed by the Accident Records section. The Records Division also maintains the responsibility of submitting a Monthly Uniform Crime Report to the Department of Public Safety. The Records Division is also responsible for the validation of the records that have been entered in the TCIC/NCIC database by our department. The department’s primary terminal of the TLETS (Texas Laws Enforcement Telecommunications System) is operated by the Records Division on a 24-hour per day basis.
